Tournament Policies

Program Policies

Fresh Ice Hockey reserves the right to revoke a member's participation if registration thresholds are not met.

Revocation of Participation

In cases where registration numbers are insufficient, Fresh Ice Hockey may revoke participation to maintain the quality and viability of the program.

Program Suitability

Fresh Ice Hockey reserves the right to re-evaluate any participant to ensure suitability in the program for future events. This is to ensure all participants are in an environment that is conducive to their skill level and safety.

Equipment Requirements

All participants must adhere to the equipment requirements for safety and uniformity.

On-Ice Equipment

• Full Equipment: Required for all on-ice sessions, including neck guards.
• Dress Code Compliance: There is an NHLKIDS dress code to be respected at all times during tournament hours. Penalties will be applied for non-compliance.

Dress Code (No Exceptions)

• Custom Team Gear: All players (excluding goalies) must wear their custom team CCM helmets and gloves.
• Official Attire: All players must wear their official game jersey, socks, and shell. Goalies are required to wear the team shell.
• Practice Attire: During practices, players must wear their official team practice jerseys.
• Gym Sets: All players must wear their custom team gym sets during warm-up and off-ice training.
• No Outside Apparel: During tournament hours, players are prohibited from wearing apparel from other teams or organizations to uphold the pro league theme. This includes minor hockey team apparel.
• Playoff Day Attire: Players are required to arrive at the arena in formal attire such as "Shirt & Tie", "Semi-Formal", "Fancy Dress", "Black Tie", or "Upscale Casual".

By adhering to these guidelines, participants contribute to a professional and cohesive tournament experience.

Fresh Ice Hockey Tournament Refund Policy

Application for Refunds, Withdrawals, or Cancellations

All requests for refunds, withdrawals, or cancellations must be submitted in writing to the Fresh Ice Hockey Admin Office via email at info@freshicehockey.ca.

Refund Policy Details

• 90 Days Prior to the Draft: Refunds requested 90 days before the draft will be issued in full, minus the deposit(s) and a $50 administration fee. Please note that deposits are non-refundable.
• 30 Days Prior to the Draft: No refunds will be provided for requests made 30 days or less before the draft.
• After the Draft: Refunds will not be approved after the draft unless sanctioned by the Fresh Ice Hockey Board of Directors. Special considerations may be made on medical or compassionate grounds at the Board’s discretion.
• Deposits and Late Fees: No refunds will be given for deposits, late fees, or penalties under any circumstances.
• Injury-Related Refunds:
  • Prior to the Draft: Refunds due to injury before the draft will be granted upon receipt of a physician’s letter stating the date of injury. These refunds will be pro-rated, less the deposit, from the date of injury.
  • After the Draft: Refunds for injuries occurring after the draft will not be considered.
• Medical Reasons (Non-Injury): Refunds for medical reasons other than injuries will require a written request supported by a physician’s letter.

Payment Method for Refunds

• Credit Card: If you paid using a credit card via Square, your refund will be processed back to your card.
• Interac e-Transfer or PayPal: Refunds will be returned using the original payment method.

Force Majeure

Fresh Ice Hockey/Hockey Glace Fraîche commits to making reasonable efforts to deliver programs, tournaments, and products as scheduled. However, cancellations due to causes beyond our control, such as weather, fire, floods, mechanical breakdowns, acts of God, riots, civil commotion, pandemics, explosions, industrial actions, lockouts, labor difficulties, wars, shortages of materials, and interruptions to transport or utility services, will result in a future credit for the full cost of the event, program, or product, excluding all sunk costs.

Injury Management and Procedures

We understand that injuries can be an unfortunate part of participating in sports, and we want to ensure that all players are well taken care of during the NHLKIDS event. Below is a summary of the procedures and policies for handling injuries that occur during or up to 90 days prior to the tournament.

Reporting Injuries

• Immediate Notification: Should a player suffer an injury, it is essential to notify the team Coach or the tournament committee immediately. Prompt reporting ensures that the necessary support and information can be provided efficiently.
• Injury Reporting Timeline: All injuries occurring during the tournament or up to 90 days before the start should be reported to the committee. This helps us manage the situation effectively and ensures the player's health and safety are prioritized.

Serious Injuries and Return to Play

• Medical Clearance: In the case of a serious injury that prevents a player from returning to play, a physician's clearance is mandatory. This step is crucial to ensure the player is fit to return to the sport without risking further injury.
• Return to Play Form: Please contact the administration to obtain a "Return to Play" form. This document must be submitted to the committee for risk management and sports insurance purposes when required.
